怎样用商务英语开电话会议

1. 电话打进去以后先来报个名Hello.This is XX.

2. 没人搭理你,那继续等待。一般会议主持者会打进去比较早,基本会回一句:Hi, XX.

3. 如果有人How are you?那就回一句,I’m good./ I’m fine. Thank you. 教科书上的And you?就别加了。同理,也可以问别人How areyou?

4. 组织者看人来的差不多了,就总结下:We have XX, XX…. I think we can start the meeting.

5. 发现有个重要的人没来:Is XX on the line?

6. 开会前组织者会发会议日程,俗称Agenda,那开会就按照上面一条条来即可。对于项目会议来说基本就是各角色汇报下状态,然后对几个问题进行讨论。那么在过状态的时候基本的套路就是,之前干了啥,之后要干啥。

7. 开发人员汇报状态。改bug情况:Thisweek we fixed xx defects. There are still xx issues in dev queue and we willfix them in next build. 或者We canfix x of them. Remaining defects will be delivered to QA next week.

开发情况:We have finished technical design and next week we will startcoding.

部署情况:Build xhas released to QA last Friday. Totally x defects and enhancements are includedin this build.

8. 测试人员汇报状态。测试情况:This week we didfunctional testing / regression testing. Totally x defects are found in thisbuild. We will finish the testing by this Friday.

如果是写文档:We are writing test case for x project this week and 50% hascompleted. We have reviewed the test case with developers and BA. Remainingtest case will be done next week.

9. 之后讨论各种问题,因为情况复杂,很难归纳。但是基本问题就是围绕开发测试项目进度等等各个环节出现的问题。(过两天更新)

10. 对方来了一句没听清楚,可以说。Sorry, Could you repeat again?

11. 两个人都说话然后出现抢话后的寂静:xx,please go ahead.

12. 组织者问大家还有问题要讨论么:Any questions?可以回:No 或者I’m all set.

13. 信号不好有噪音:Excuse me. There are some backgroundnoises. I didn’t catch you. Would you pleasesay it again?

14. 掉线了重新返回:Sorry. I just dropped the line.

15. 实在听不懂时怎么办,不能老让人重复吧:I think the issue is toocomplicated and I will send an email to you after the meeting.

16. 被问到问题结果答不上来了,别愣着尴尬:I cannot give you the answernow. And I will check it and get back to you later. 或者 I will confirm with xx and send a email to you. 或者I’m not sure and I will doublecheck it after the meeting.

17. 对方描述了一个问题或者交代给自己一件事情,自己*好重复一下,避免信息丢失或者误解。

1.quiet environment

Make sure you are in a very quiet environment, this will make you hear everything clearly and keep the misunderstandings to minimum.

确保你身处一个安静的环境之中,这将保证你能听到会议的全部内容,并且使得误解减少到最低限度。

2.being on time

If you are the conference call leader, you want to start right on time, because the conferee may have other business to do. If you are a conferee in the call, be on time, you do not want to miss anything that might be important.

如果你是电话会议的负责人,你会希望会议按时开始。因为其他与会人员在此之后也许还需要参与其他的事物中。如果你是普通的会议人员,要做到准时,你不会想要错过任何可能重要的信息。

3.Using Telephone Technology 电话技巧

The mute button does wonders, the mute button should be used if there is a lot of background noise that you simply cannot control. Of course, make sure you know how to un-mute for when it is your turn to speak or answer a question.

1. introducing yourself

在电话会议正式开始之前,你通常会听到"Is everyone on here?"或者"Can you hear me?",如果你听得到或者能听清的话,可以回答例如"Yes"。

通常是由公司领导或者会议发起人会主持会议,如果不是都认识的话,可能让大家进行互相介绍。轮到你做自我介绍的时候,一定要简单明了。告诉大家你的姓名和职位,尽可能不要超过两句话。

例如: “Hello, everyone. My name is James Stuart and I’m the Marketing Executive at Acme Communications, San Francisco branch.”

2. introducing the subject

如果是你发起的电话会议,你还需要介绍会议主题或者是会议的议程。首先,你要像上面所说的那样确认所有人都到会,并且都做完自我介绍了。然后,你就要告诉大家这次会议的主题和会议议程。这时,你可以使用以下句子:

The purpose of this call is…

Our agenda today will be…

I would like your input on…

I’ll be asking questions about…

例如:“I’d like to clarify thatthe purpose of this call is to discuss thenew marketing strategiesfor launching the fall 2018 collection.”

3. deciding the speaking order

如果超过三个人或者四个人参加这个电话会议,设置一个发言顺序更有利于避免混乱和插话。比如说,与会者可以按照字母顺序来发言。不管按照什么顺序发言,必须在正式开会之前决定好发言的顺序,这样大家可以按照这个顺序来做发言准备。所以,你做完会议主题或者会议议程介绍之后,你可以像下面这个例子这样说:

“We’ll follow an alphabetical speaking order. We’ll begin with Mr. Baldwin, followed by Mrs. Brown, Mr. Chatterjee, Ms. Evans, Mr. Richards, Ms. Stalling and Mr. Yaxley.”

4. when it’s Your turn to speak

在开会之前,一定要做好发言准备。有必要的话,你可以把你的发言要点写在本子上,并且参照要点讲话。你的发言,一定要确保有清晰的开头,中间和结尾。例如你可以这样开始“Hello everyone. As the Marketing Executive, I have three suggestions for the project.”,然后你就可以用“first,” “second,” and “third”来作为发言要点的开头。最后是做总结了,例如“So to sum up, by implementing these three strategies we can achieve a significant sales boost and build a stronger relationship with our customers.”。

5. ending the call

当所有人都发言完毕或者会议议程都进行完时,就需要用简单的语言进行会议总结并且结束此次电话会议。如果是你主持会议,例如你可以说:

“Thank you everyone for your time. In this discussion, we covered the following points…”

“After hearing your points, I feel the best course of action is to…”

“Thank you for all your input. I’ll let you know my final decision on this topic by email within a day or two.”
